Responsibilities for administrative assistants/coordinator at departmental level

- Submit a Business Center Travel Authorization Form at least five (5) working days in advance of the travel.
- Provide the student’s 800# and 600#. If the student(s) do not have a 600#. Complete the process below to request it from the Travel Office.
- a) Have the student complete the Student Reimbursement Information Form (found in useful forms tab)

- b) E-mail the completed Student Reimbursement Information form to for processing.
- Registration with international SOS is required, for all students who travel internationally.
- Business Center staff will process a PeopleSoft travel authorization request and will notify the Administrative Assistant/Coordinator when the Travel has been approved and the TA number has been issued. Business Center staff will also request the student field trip insurance.
- The approved TA number allows you to proceed with making necessary travel arrangements, to include but not limited to, airline reservations, hotel reservations, and transportation arrangements.
- Contact Anthony travel to book flight/ground transportation, provide them with the TA number and the cost center/project ID that will cover the expenses for the trip.

Travel Office Student Travel Approval Process
- Submit student travel documentation 10 days before departure. The department’s travel planner must create a trip and request electronic student travel approval from the Travel Office. First-time users can be given access to the Travel Office student travel approval page by sending an e-mail to studenttravel@utep.edu
- The travel planner must have all the trip information (airline confirmations, lodging details, etc.)
- Follow the Travel Office “Student Travel Approval Process” to create a student trip
- Once the trip is created, the student traveling will receive an email notification and will be required to complete certain steps.
- All of the students included in the trip must complete the required paperwork before approving the entire group trip.
